Accessing Alex Health at another healthcare provider site
If you are trying to access Alex health at another healthcare provider site using their staff Wi-Fi can you try using the below URL to access Alex Health.

If you are using home internet, mobile data (3G/4G) the corporate VPN should connect so use the usual desktop icon.
Please do not remove DOWS and ZEBRAS between wards
There are a number of DOWs and Zebras that have been moved between wards.
Please do not move these from their intended location as they have been configured for that particular workspace and a lack of access to the correctly configured devices can lead to patient safety and data security risks.
Raising an IT support ticket
Please ensure any tickets raised with the IT support desk include as much information as possible, including your location (ward/client), the patient MRN, your smartcard access role and add screenshots where you can and when applicable (scrub any patient data that is not appropriate to share). The more information you include in your ticket, the faster it can be resolved.
Please also consider if the priority is actually urgent for the trust/patient safety and not just urgent for you, as this makes it harder for the IT team to prioritise issues and to ensure that they pick up urgent cases.
If you have raised a ticket, please check your emails regularly for replies from the IT team in case they need more information. This will allow them to be able to respond to queries straight away and reduce time to fix the issue
Smartcard misuse
A reminder to staff:
- Never allow anyone else to use your smartcard
- Never leave your smartcard unattended
- Never remove your smartcards without logging off
- Never leave your smartcard in a smartcard reader when you are not using it
- All breaches in relation to the misuse, and/or loss of smartcards should be reported via Datix
- Always keep your smartcard in a safe and secure place when not in use
- Any lost, stolen or damaged smartcards must be reported immediately to the local RA team or local smartcard administrator
How to request Porters for equipment/bloods
Please can all ward staff remember to request equipment / blood using Capacity Management rather than calling facilities or using Synbiotix.
IT Helpdesk / Fresh
Everyone will have this icon (ICT Helpdesk pictured below) on their desktops, click on this log jobs for the IT team (technical and device issues). Some people refer to this as Fresh but to be clear Fresh and ICT Helpdesk are the same thing.
Alex Health devices provision
With the introduction of Alex Health, new devices have been deployed to all areas with sufficient consumables to last approximately four weeks. After this time wards/departments will be responsible for ordering their own consumables such as specimen labels, wristband cartridges etc.
Any new consumables should be ordered through the usual routes (i.e. procurement) and not raised as a ticket in the ICT Helpdesk please.
Smartcards
The smartcard team is currently extremely busy. Please note:
- You cannot get smartcard access to Alex Health without first completing the appropriate training for your role
- The smartcard team can't support IT issues, please raise all IT related issues via the IT helpdesk
- For all new smartcards, please apply via the IT helpdesk
Smartcard access – selecting roles
Some staff have been selecting the wrong access when inserting their smartcard and then they aren't able to do their role.
Make sure you select the correct access for your role when you insert your smartcard.
‘Exit’ before removing your smart card
Please do not remove your smartcard without properly exiting the application you are using first. Leaving an unsigned activity on a patient record when removing the patient card will prevent other users from performing some actions such as prescribing medicines.
You must always use the applications ‘exit’ option before removing your smart card.
Updating PDS records on the Spine
If you’re checking in a patient face-to-face for any encounter, please confirm their demographic information with them, and update them on Alex Health if the information is different.
Overnight at midnight, the updated information will be automatically uploaded to PDS on the Spine.
Alex Health access via Alex Net
Please note, as well as the desktop icons, staff can now access Alex Health via Alex Net (our intranet) under ‘Online Systems’
